New / Improved Features

New Job Transactions Action

Existing actions that could be made on transactions for jobs have been moved to the bottom of the Transactions screen. ASAP operators now have a more centralized and improved view over the actions that can be made on each transaction, these actions are:

  • New Transaction
  • Update Transaction Details
  • Refund Payments
  • Apply to Invoice/Quote
  • Email Receipt
  • Download Receipt

This change also addresses previous issues where some transaction types could not be applied against an appointment after being created.

Trigger SMS from an Audit

Similarly to email triggers, SMS’s can now be trigger by answering a question during a desktop audit.

To set this up in the SMS Message Type Menu:

  1. Under the options tab for the SMS Type, select “Audit Completed (Require Question)” for the “Send On” option

  2. You can now assign an audit question answer to trigger the SMS to be sent with the submission of the Audit.


The below image appears when submitting an Audit and answering the Question linked to the SMS Type.

New Tag Scope Option

Tag Scope is a new option which has been added to the Tags configuration menu with the two options, Appointment and Job. You can now add tags to the job, rather than just the appointment. This means that tag will apply to all appointments within the job.

Tags to Columns (in Waiting List and Search Results)

Two new check boxes have been added in the Tags configuration screen which enable tags to be shown in the Waiting List and Search Results as columns.

SMS Tags

Tags can now be linked to SMS Types through the SMS Message Types screen. This allows you to filter the appointments sent by that SMS Type by one more tags.

Save Advanced Search column filters

Cookies are now used to save the state of your column filtering options on results lists. This means that when you configure which columns you want visible on a list, it will now remember your settings until your browser session expires.

Set a Default Job Source

There is now the option to select a Default Source in the Sources Menu. When creating new jobs in ASAP, you will not need to select a Job Source every time as it will now automatically use the default job source if you have one set.

Paperwork Status Required Action

The Paperwork Required Status can now also be updated when updating the Quotation Status of an appointment.

New Font option

Open Sans has now been added as a font option to the form designer.

Minor Changes/fixes

  1. Fixed the side navigation menu, to show the Auditing button if the appointment has status of Audited-Partial.
  2. Bug fix to the Datafile Columns configuration; Product Details and Product Attributes options under Column Type were not displaying a result when used with non-block products.
  3. Bug fix to the Appointment, Job and Audit Question screen. Mandatory answers were not validating correctly for Radio Boxes and Select Fields.
  4. Updated the SMS Builder opt out text from ‘Reply STOP to Opt-out’ to ‘Reply STOP to Opt-out of SMS’, to prevent confusion.
  5. New Fields have been added to Datafile Columns: Property Address 1, Property Address 1 (No Lot) and Building and Level and Unit No/Lot No
  6. Bug fix to Appointment Importer not correctly validating “Unit Type”
  7. Bug fix to the Bulk File upload to better handle errors if Geotag option is used and fails.
  8. Bug fix; ‘Change to Current Prices’ button was not working on the Quotation screen during job creation.
  9. Improved the loading time of Runabout Questions and Answers section which was scaling poorly when the number of appointments in the system increased.

Our development road map for the next 3 months

Dataforce has been busy over the past few months developing new features which we will be releasing incrementally over the next few months.

Dataforce ASAP REST API

A brand new REST API with over 50 end points covering appointments, invoices, quotes, stock, products, customers, jobs, files, work types etc. This REST API will provide much needed resources that your developers can work with to integrate other third party software that you are using such as CRM’s, Accounting packages, inventory systems etc.

The new REST API is due for release in January 2021.

Dataforce ASAP

We are also actively working on the following features which will be in our next two major releases (2021.1 and 2021.2)

SPV Validation (2021.1)

Dataforce has recently become an Installer App Provider partner with Clean Energy Regulator for the Solar Panel Validation Initiative.

We are currently implementing SPV in Dataforce ASAP which will greatly benefit clients who are doing Solar PV installations.

Applications to create small-scale technology certificates (STCs) submitted with verified solar panel information are likely to be processed more quickly – typically within 48 hours, subject to the application successfully meeting all eligibility requirements under the scheme.

Hubspot Integration (2021.1)

Dataforce has been working on integrating with the HubSpot CRM platform. This will provide our clients with a seamless two-way sync between a leading CRM platform and Dataforce ASAP.

Signature overhaul (2021.1)

Signature capture in Runabout is undergoing some changes. Currently, signatures are mapped to Runabout tabs using the Runabout configuration screen. This will no longer be required as Signatures will now be automatically mapped to Runabout based on what signatures have been mapped to the forms. Legacy signatures types of ‘Consent, Invoice, Customer, Commitment and Completion’ will be migrated to what is now known as ‘Additional Signatures’. ‘Additional Signatures’ will become just ‘Signatures’. If the same signature type is mapped to multiple forms, Runabout will require a separate signature for EACH form. Individual signatures can no longer be shared across multiple forms. This change is due to feedback from both ESS and VEU about using the same customer signature for multiple documents.

These changes will be implemented and migrated automatically and transparently and will not require any manual configuration changes to your system.

Xero Integration (2021.2)

Following on from our HubSpot integration, Xero integration is planned for release in ASAP 2021.2
