Overview
Agents and Fieldworkers may subscribe to a weekly email that provides a list of attributes that are close to or have expired. The Agents email includes both their attributes and their fieldworkers.
They will receive an email like below screen shot.
Please note we do not include the values of the attributes only their expiry status.
These emails are dispatched Monday morning.
Subscribe as Agent
- Open Agent Register (Admin > Agent > Agent Register)
- Open the Agents Profile.
- Navigate to the bottom of the Agent Attributes section.
- Look for Checkbox titled Enable notifications for expiring attributes.
- Make sure the Checkbox is ticked.
- Click the Save Details button at bottom right of the screen.
Subscribe as Fieldworker
- Open Fieldworker Register (Admin > Fieldworkers > Fieldworker Register)
- Open the Fieldworkers Profile.
- Navigate to the bottom of the Fieldworker Attributes section.
- Look for Checkbox titled Enable notifications for expiring attributes.
- Make sure the checkbox is ticked.
- Click the Save Details button at bottom right of the screen.
Ensure Expiry Attribute Types are used
Both Fieldworkers an Agent attributes have 3 types with examples are shown above, they are:
- Date.
- Expiry.
- Expiry (Runabout).
Attributes like ‘Electrical License Expires’, ‘Plumber License Expires’ are likely using Date Type and are NOT INCLUDED in the notification email, please change them over to use Expiry Type using one of the Attribute Type editors.
Expiry types show a warning next to the date field 30 days before and after expiry.
The attribute type ‘Expiry (Runabout)’ will prevent a fieldworker downloading their schedule to Runabout if the Attribute has expired and was developed for clients worried about staff working with expired licenses who prefer to stop the fieldworker working until their license status is validated.
Check if Email Was Sent
The report Emails Sent lists recipients of emails defined in Email Types editor.
- Select From Email Type Dropdown Agent Profile Notification or Fieldworker Profile Notification
- Choose Date Range E.g choose last Monday in the month.
- Clicked the Search button to run the report.
Please note the Result Column if ASAP has previously attempted to deliver this email and receives a bounced/undeliverable return the address is placed on a suppression list to preserve reputation. This helps prevent emails getting classified as junk.
The next time the notification process runs for this email address ASAP will NOT attempt to send but will record in the Result Column a value like ‘Not Sent’, you may contact Dataforce about removing an email address from our suppression list.
