The date and time the appointment was created.

Activity Date

This date determines which questions, forms and calculations will be valid for an installation appointment.

Form types, calculation modifiers and questions can all have valid from and valid to dates.

Activity Date in Assessment/Quotation appointments

By default, the activity date of an appointment will default to the scheduled date of the appointment.

In the case where the installation may not get done for days, weeks or months after the assessment, it may be useful to have the quotation based on the questions, forms and calculations of a future date (ie. the expected date of the installation).

Changing the activity date of the assessment appointment to the expected date of the installation will result in a quotation which is based on calculation rules that are valid at the time of the installation.

This date can be changed in Runabout via the Activity Date tab.

Activity Date in Installation appointments

When evaluating which forms, questions or calculation modifiers are to be used in an installation appointment, the valid from and valid to dates will be compared with the activity date of the appointment.

If the activity date falls inside the valid date ranges then the form, question or calculation modifier will be valid for that appointment.

The activity date is typically used for mangaging which versions of forms, calculations or questions will be loaded for the appointment.

For example, you may have a new version of a form that you don’t want to be active until a specified date. Using the valid from and valid to fields in the form configuration, you can specify a valid date range for the original version of the form and a different valid date range for the new version of the form.

Now, any appointments with an activity date before the specified date will use the original version of the form and any appointments with an activity date after the specified date will use the new version of the form.

This date can be changed in Dataforce ASAP via the Change Activity Date screen.

Scheduled Date

This is the date an appointment has been scheduled to be completed.

This date is set when scheduling the appointment. It can also be changed by rescheduling the appointment.

Completion Date

This date will be automatically set by the system during the following events:

  • When an appointment is synced (via Runabout)
  • When an appointment is completed (via Dataforce ASAP)

This date does not necessarily represent when the appointment was 100% completed, as it will also get set when an appointment is in a partially completed status.

This date will be updated for every subsequence sync or completion event.

This is an internal date and cannot be overridden or changed.

Actual Completion Date

This date will be automatically set by the system the first time the appointment moves from an assigned status to a completed status or from a partially completed status to a completed status.

This date can be overridden via the Override Completed Date action in an appointment.

Commencement Date

This a user-definable date that can be used to specify a starting date for the appointment in the situation where it is before the scheduled date of the appointment.

This date can be set via the Change Commencement Date action in an appointment.

Invoice Eligibility Date

The invoice eligibility date of an appointment controls the invoice period an appointment will appear in when the appointment is invoiced to a field worker or agent.

This date will be automatically set by the system when the appointment becomes eligible to be invoiced.

To become eligible to be invoiced, the appointment will need pass the following requirements:

  1. Must not be in a status of Completed-Partial/Assigned/Waiting/Cancelled
  2. Must not have a failed audit status
  3. Must have a valid or justified address (if enabled)
  4. Must not have the paperwork required flag set (if enabled)
  5. Must have a transaction balance of zero (if enabled)
  6. Must not have the non-compliant flag set (if enabled)
  7. Must have all products recycled (if enabled)
  8. The parent appointment must be in the correct status or invoice eligible itself (if configured, refer to Invoicing Options

Invoice eligibility options can be configured through Program Preferences under the Invoices tab

Client Invoice Eligibility Date

The client invoice eligibility date of an appointment controls the invoice period an appointment will appear in when the appointment is invoiced to a client.

This date will be automatically set by the system when the appointment becomes eligible to be invoiced.

An appointment will become eligible to be invoiced to a client after it has been invoiced to either a field worker or agent.

Submission Eligibility Date

The submission eligibility date is used when exporting submission datafiles from the system.

This date will be automatically set by the system when the appointment becomes eligible for submission.

To become eligible for submission, the appointment will need pass the following requirements:

  1. Must not be in a status of Completed-Partial/Assigned/Waiting/Cancelled
  2. Must not have a failed audit status
  3. Must have a valid or justified address (if enabled)
  4. Must not have the paperwork required flag set (if enabled)
